Data privacy
Built for the Data Privacy Act (RA 10173)
Health information is sensitive personal information under RA 10173. MyDMD records each patient’s consent before their record can be saved, writes down who changed what and when, lets each person open only what their role allows, and archives patients rather than erasing them.

How is a patient’s consent recorded?
A patient record can’t be saved until consent is recorded, along with when it was given. This isn’t a setting, and it can’t be switched off. A minor’s record carries their parent or guardian’s details. If a patient withdraws consent, their reminder emails stop.
Consent and treatment forms are signed on screen and saved as a PDF with your letterhead and a reference number, sealed so an altered copy can be spotted.
Adding a patient →Can we see who changed a record, or opened a file?
Yes. Every change to patient data is written down with who made it, when, and what it was before. So is every x-ray, photo or document opened or downloaded, every document exported, and every sign-in. The owner can read that history in the app and download it.
Who on our team can see what?
Each person logs in as themselves and gets a role that decides what they can open and change. You define the roles — a front desk that books and takes payments without reading clinical notes, for example. In a clinic with several branches, a branch’s team works with that branch’s patients.
Branches, roles and who sees what →What happens when a patient record is deleted?
Patients are archived, never erased: an archived patient leaves your lists but their record stays whole, and only the owner or an admin can archive or restore one. A file you delete goes to the trash for 30 days, and can be put back until then.
Is our clinic’s data backed up?
Yes, every night.
Who is responsible for our patients’ data?
Your clinic decides how its patients’ information is used; MyDMD looks after it on your behalf. You can ask us for an export of your clinic’s data. The details are in the privacy policy and terms of service.
