Switching from paper or a spreadsheet

Moving your dental clinic from paper to MyDMD

Set up four things first: your team, your dentists’ hours, your fees and where payments go. After that, each patient’s record starts at their next visit — with their consent recorded, their old paper chart kept as a scan, and the work they already have marked on the dental chart.

What do we set up before the first patient?

The app’s setup checklist walks you through these four. Each one has a short guide.

  1. Step 1

    Your team

Tag yourself and every dentist who treats patients, and invite anyone else who needs to log in.

  2. Step 2

    Dentists’ hours

When each dentist is in, so the appointment book only offers real times.

  3. Step 3

    Your fees

Start from a list of 34 common procedures, already named, and type in your own prices.

  4. Step 4

    Where payments go

The cash drawer, the GCash or Maya number, the bank — whatever your patients pay into.

Do we have to move everything on the first day?

No. Start with the appointment book and the patients in front of you. A returning patient’s record is made at their next visit, with their consent recorded before it can be saved — the Data Privacy Act expects it, and the app won’t save a record without it.

What happens to our paper charts?

Keep them with the patient. Photograph or scan the old chart, x-rays and forms, and add them to the patient’s files — several at once, as photos or PDFs. Each file can be dated to the day it was made, so the patient’s history stays in order.

How do we record work a patient already has?

On the dental chart, existing work — old fillings, crowns, missing teeth — is marked apart from the treatment you plan. So the chart starts from the mouth in front of you, and what you plan next is clear at a glance.

What replaces the notebook and the spreadsheet?

The appointment book, each patient’s balance and the day’s takings come from the same entries. Record a procedure and a payment at the visit, and the patient’s balance always matches the payments behind it. At closing, the app tells you what the drawer should hold — nobody adds up a column.

Will our staff need training?

The help guides go step by step, in the order a clinic needs them. If something isn’t clear, message us.

We use MyDMD (old version). Is this for us?

Not quite — your records come with you when your clinic moves. Moving from the old version explains how.
